Data controller
Propeye Technology AB is the data controller for the processing described here. We process your data in accordance with applicable data protection legislation, including the EU General Data Protection Regulation (GDPR).
Data we collect
When you contact us through a form, we collect and process the following data about you:
- Name
- Email address
- Telephone number
- Town or city
- Details of your organisation or housing association and your role there
- Which service you are interested in and the content of the message you send
- Whether you choose to subscribe to our newsletter
When you submit a form, we also record certain technical information, partly to understand how your enquiry reached us and partly to protect the form against spam:
- Which page on the website the form was submitted from
- Which page you came from and which page you first visited during your visit
- Any campaign parameters in the link (UTM)
- Technical information needed for the spam protection, for example IP address
How we use your data
We use the data we collect for the following purposes:
- Marketing and mailings
- Support and customer service
- Administration and information
- Handling customer orders and agreements
If we want to use your data for another purpose, we obtain your consent first, and then use the data only for the purpose you have consented to, unless we are required to do otherwise by law.
How we share your data
We do not transfer your personal data to third parties without your consent, except in limited cases, for example to engaged suppliers for advertising, marketing, analysis and data collection and processing.
To handle your enquiry we use, among others, the following suppliers, which process data on our behalf:
- Odoo, our business and CRM system, where your enquiry is registered and followed up
- Cloudflare Turnstile, a service that protects the forms against spam by checking that they are filled in by a human
When we engage such suppliers, we require that they use the data only for the purpose for which it was transferred, and that they do not keep it longer than necessary.
Profiling for relevant sales follow-up
We build a per-person profile of website visits, ad clicks, email engagement and CRM activity to prioritise and personalise our sales follow-up. When you submit a contact form, we link your email address to your previous visits to our website, the ads you have clicked and how you have interacted with marketing emails we have sent you.
The data we combine comes from the following sources:
- Meta Ads (ad clicks and campaign data)
- Google Ads (ad clicks and campaign data)
- Mailing engagement in Odoo (opens and clicks in marketing emails)
- Nordic Propeye’s own website measurement (page views, forms and interactions on nordicpropeye.com)
- Contact, lead and opportunity records in our CRM system Odoo
We only link data when the match is certain: when the same email address appears in both sources, or when a click id from an ad (for example gclid or fbclid) accompanies your form submission. Probability-based guesses, for example that two visits resemble each other, are never merged automatically.
The legal basis for the merging and profiling is our legitimate interest in following up business enquiries in a relevant way (Article 6(1)(f) GDPR). The website measurement itself takes place only with your consent, which you give and withdraw through the cookie settings. The profiles are used to prioritise and personalise sales follow-up, not for automated decisions with legal effects for you.
You always have the right to object to this processing (Article 21 GDPR). Email info@propeye.se and we will stop the profiling for your email address and remove the links, or use the unsubscribe link included in every marketing email. Profile data is subject to the same retention periods as described under How long we keep your data. We have carried out a data protection impact assessment (DPIA) for this processing; a summary can be requested via info@propeye.se.
How long we keep your data
We keep your personal data for between 90 days and 2 years after a customer relationship has ended, or for as long as it is needed for the purposes for which it was collected. Certain data may need to be kept longer for accounting, reporting or other legitimate purposes under applicable law.
Your rights
Depending on applicable law, you have the right to:
- obtain access to, rectify or erase your personal data
- obtain a copy of your personal data
- restrict or object to the processing of your data
- request that we transfer (port) your data to another party
- withdraw a consent you have given
- lodge a complaint with the supervisory authority Integritetsskyddsmyndigheten (IMY)

Security
The security of your data is important to us, and we use reasonable security measures to prevent loss, misuse or unauthorised alteration of data under our control. Given the risks that exist, however, we cannot guarantee absolute security for information you transmit to us.
